Planning a school field trip: a transport checklist

Department of Education compliance, driver certification, insurance and safety checks — everything a school coordinator needs to know.

Organising transport for a school field trip involves far more than booking a bus. As a coordinator, you carry responsibility for the safety of every learner in your care. This checklist covers everything you need to verify before a single child boards a vehicle.

1. Verify driver credentials

Every driver transporting learners in South Africa must hold a valid Professional Driving Permit (PrDP) endorsed for passengers. This is a legal requirement, not a recommendation. Always request a copy of the driver's PrDP before confirming the booking.

  • Valid PrDP (Passenger category) — check expiry date
  • Valid driver's licence for the vehicle class
  • Confirm driver has no pending traffic violations where possible

2. Check vehicle roadworthiness and compliance

The vehicle must have a valid roadworthy certificate and valid motor vehicle licence. For school transport, the vehicle must also comply with Department of Education standards for learner transport, which includes seatbelts for all passengers.

  • Valid roadworthy certificate
  • Valid motor vehicle licence disc
  • Seatbelts fitted for all passengers (mandatory for learner transport)
  • First aid kit on board
  • Emergency exit clearly marked and functional
Tip: Ask your transport provider to supply copies of the roadworthy certificate and vehicle licence before departure. Keep these on file with your trip documentation.

3. Confirm insurance cover

The vehicle must be insured for passenger transport. Third-party liability insurance is the legal minimum, but comprehensive cover is strongly advisable. Ask specifically whether the policy covers learners and whether there are any exclusions relevant to your trip.

  • Confirm passenger liability insurance
  • Ask about cover limits per passenger
  • Get the insurer's name and policy number in writing

4. Plan your route and emergency contacts

Share the full route with the school principal and at least one parent contact before departure. Identify rest stops, the nearest hospital en route, and a contact number for the driver throughout the journey.

5. Brief the driver

A good transport provider will brief their driver thoroughly — but it never hurts to confirm expectations directly. Discuss pick-up and drop-off times, behaviour expectations on board, the no-movement-while-travelling rule, and what to do in an emergency.
